Planning Stock for Subscription Dispatches

Plan monthly subscription packaging stock with edition quantities, usable inventory, reserve assumptions and confirmed approval/delivery milestones.

Plan each subscription dispatch by reference and artwork version. Separate expected shipments, contingency, usable stock and supplier purchasing constraints before confirming dates.

Define the dispatch count and component use

Record the planned shipment list, edition variants and any replacement or sample orders. Assign component use per shipment from the approved packing method. Keep boxes, cards, closure parts and any holding components in separate stock rows.

Deduct stock only when the reference remains valid

Check box dimensions/construction, artwork and card version before counting stock as usable. Separate damaged or obsolete units. Add a visible reserve assumption, then request supplier pack sizes and minimums for each run.

Illustrative example: 480 planned shipments plus 20 reserve boxes need 500. With 75 usable boxes, the shortfall is 425 before rounding. If the confirmed pack is 50 and no higher minimum applies, that scenario purchases 450 boxes. Those inputs are not BrandYourPack terms.

Work backward using confirmed milestones

Record dispatch, receiving, sample/fit review, artwork approval and supplier-confirmed production and transport milestones. Ask which date starts the production clock and what changes require renewed approval. Do not assume a requested date is a guaranteed delivery date.

Maintain contingency as an explicit business choice. The guide does not provide an unverified supplier lead time or a new delivery calculator.

Close the loop after dispatch

  • Record actual shipments by edition.
  • Count remaining usable components separately.
  • Explain damaged, obsolete and unplanned use.
  • Update the next run with approved reference/artwork changes.

Use the consumption calculator per reference and the quote checklist for the request.

This is a planning method, not a report of completed sample tests. Keep approval tied to the exact proposed construction, artwork and intended use.

Questions about this decision

Should all unused boxes be counted for the next edition?

Only if their reference and artwork remain approved and the units are usable. Confirm fit against the next edition range.

Can card and box quantities share one stock count?

No. Different versions, consumption and purchasing constraints need separate rows.

Does this guide confirm production or delivery days?

No. Obtain milestones and terms for the actual supplier proposal, then use them in your dispatch plan.
